WhatsApp business systems

Everyone will sell you the WhatsApp Business API. We wire it into how your business actually runs.

The API is a pipe. What matters is what sits behind it — an assistant answering from real stock, a conversation landing in the CRM instead of on someone's phone, a follow-up that goes out before the lead cools. That layer is custom-built, and it connects to the systems you already have.

What we build on WhatsApp

The channel your customers already chose, connected to the business behind it.

Six kinds of work. They tend to be sequential rather than separate: the second problem sits upstream of the first.

01 / 06

  1. The API, set up properly

We're running WhatsApp Business off a phone. Three people share the login, and nobody can see what was said last week.

    • Provision the number, verify the business profile
    • Write message templates and submit them for approval
    • Put several people on one number without collisions

Get it wrong and everything built on top inherits the mess.

Number provisioning, a verified business profile, message templates written and submitted for approval, opt-in handled correctly, and several people working one number without stepping on each other. Number provisioning, verified profile and template approval are handled as part of the engagement, so the account side is dealt with end to end rather than handed back to you as a support ticket. This is the boring half.

Number provisioning · Verified profile · Message templates · Multi-agent access

  2. An assistant that answers from live stock

Someone asks at 11pm whether the two-bed is available. They get an answer at 9am, if the price is right.

    • Read the same live source the website reads
    • Answer availability and pricing in Arabic or English
    • Hand to a human when the question outgrows it

It answers from what is true right now.

We connect a WhatsApp assistant to the same live source your website reads: listings, availability, pricing, service catalogue. It answers from what is true right now, in English or Arabic, and hands the conversation to a human the moment the question outgrows it.

Live listings · Availability & pricing · Human handoff · Arabic & English

  3. Conversations that reach the CRM

The deal happened in a chat thread, on a phone we no longer have access to.

    • Write every conversation to the right CRM contact
    • Tag each conversation with source and owner
    • Alert when a serious one sits unanswered

Managers stop reconstructing the pipeline from screenshots.

Every WhatsApp conversation written to your CRM against the right contact, with the source it came from, the person who owns it, and an alert when a serious one is sitting unanswered. The reporting end can sit inside your CMS — KPI cards, a hot-lead priority table, per-lead engagement and an activity timeline — so the sales team opens one screen rather than four.

    HubSpot · Zoho · Salesforce · Pipedrive · Attribution · Ownership & routing · Alerts

  4. Follow-up that actually goes out

Every salesperson swears they followed up. The pipeline says otherwise.

    • Read the agent's own history with that lead
    • Draft the next follow-up message for them
    • Draft from the thread, inventing nothing

The agent opens it, reads it, sends it.

A system that reads the history an agent already has with a lead and drafts the next follow-up message for them. Nothing is invented about the relationship, and nothing sits in a queue waiting for someone to find the time to write it.

    Drafted follow-ups · Per-agent · Real estate

  5. Internal messaging where the knowledge stays

When someone leaves, half of how we operate leaves with them. It was all in chat.

    • Write approvals and handovers into a system of record
    • Keep the reason a decision was made
    • Turn the exception into something the next person finds

None of it is searchable, and none of it survives a departure.

Most companies run their real operations in group chats: approvals, handovers, exceptions, the reason a decision was made. We build the internal side so those exchanges write into a system of record — the approval becomes a record, the handover becomes a document, the exception becomes something the next person can find without asking around.

Team channels · Approvals · Searchable record · Handover

  6. The tool you already pay for

We pay full price for a CRM and use maybe a tenth of it.

    • Find the capability already paid for
    • Switch on the action plans and automations
    • Replace plain-text email with the branded templates

No new code, and no new subscription.

Sometimes the WhatsApp problem is downstream of something simpler. A CRM bought at full price and run at a fraction of its capability — no action plans, no automations, plain-text email from a product that ships branded templates — is a configuration problem. We will tell you when that is the answer before we quote you a build.

CRM audit · Configuration · Automations · No new code

If you are one person handling a dozen chats a day, you do not need any of this.

The free WhatsApp Business app and a tidy label system will serve you better than an API and an integration bill. This work starts paying when several people share one number, when what you tell a customer has to match a live system, or when conversations are worth more than the person holding the phone.

What people ask before they start

It is the interface that lets software send and receive WhatsApp messages on your business number — as opposed to the free WhatsApp Business app, which runs on one phone. You need it when more than one person answers the same number, when replies have to come from a live system rather than someone's memory, or when the conversation has to end up somewhere your managers can see. Below that, the free app is genuinely enough.

Those are platforms. They give you access to the channel and a shared inbox, and they are good at that. We are the implementation layer: connecting the channel to your CRM, your inventory, your pricing, your internal systems, and building the behaviour that is specific to how your business sells. Where a platform's connector stops — a system it does not support, a rule that is yours alone, data that has to be joined from two places that disagree — is where custom code starts.

We handle the provisioning side with you — your number, verified profile and message templates set up properly — through the official channel for that. Our work is everything that sits behind the channel: the integration, the logic, and the systems the conversation feeds.

Yes, and this is the part most implementations skip. We connect the assistant to the same live source your website reads, so availability, price and specification come from the record rather than from a script someone wrote six months ago. When the question outgrows it, it hands off to a person with the conversation attached.

Yes. We integrate with HubSpot, Zoho, Salesforce and Pipedrive, and with in-house systems through their API. Conversations land against the right contact with source, owner and history, so a lead is not something that exists only in one person's phone. If your CRM is capable of more than you currently use, we will say so before proposing anything new.

Not necessarily. An existing number can usually be migrated, though it can only live in one place at a time — the app or the API, not both. We work out which route causes the least disruption during discovery, before anything is switched.

Yes. We build bilingual English and Arabic conversation flows, and right-to-left content handling is standard in our work.

The first conversation is free and costs you nothing but an hour. If the work looks real, we run a paid discovery to understand how your business actually operates, then come back with a recommendation and a phased quote. You are never asked to approve a number before anyone has looked at your systems.

Start with the conversation you are already losing.
